Qualifications/Experience:
We are seeking to appoint an enthusiastic and dedicated Office Administrator to join our thriving and successful
Admin Team. This will be a permanent post to work 15hrs over three days, with two days from 9am-3pm (to include
30min unpaid lunch break) and one day from 8.30am-12.30pm - term-time only. This post is paid at R2 Points 11 to
15 £24,879 to £26,961 Pro Rata.
Qualifications and training
First aid training (or willingness to complete it)

Responsibilities/Extra Information:
- Reception duties
- Initial contact with parents and visitors
- Signing in visitors and checking ID/DBS
- Answering telephone calls and passing on messages
- Giving and receiving routine information from parents and other professionals
- Assisting with welfare of pupils as required
- Pupil Administration
- Main primary admissions, details into SIMS
- Nursery Admissions
- Updating pupil records and data on SIMS, including attendance information.
- Assisting with parent/guardian contact information
- Assisting with transfer of pupil information/files to feeder schools
- Assisting with preparation of class lists
- Assisting with letters/ParentMail’s sent home to parents
General Administration - Liaising with Buckingham school kitchen daily to confirm meal numbers
- Liaising with Caters on special menus allergy information
- Organising school photographs
- General support duties, ie: Photocopying, filing
- Disposal of confidential documents/data
- Open, sort and distribute post
- Responsibility for photocopying machines, calling engineers
Financial Administration - Undertaking a range of financial duties as requested by the school office manager or head teacher
- Assisting with the administration of the online payment systems, ParentPay and ParentMail, for example school trips and club payments
- Processing purchase orders and invoices through FMS (schools procurement system)
- Managing the collection and following up debts in a timely manner
- Processing Nursery invoices and ensuring payments received and reconciled
- Collation of nursery funding hours to Buckinghamshire Council
Other
School newsletter: compiling and sending out to the school community every week
School website: Keeping information up to date, adding new files/photographs - Undertake any other reasonable duties as directed by the Headteacher.
