Making adjustments to a claim for a funding period
There may be circumstances where you need to make adjustments to a claim you have made for a funding period after you have submitted your final claim form for that period. You should use the claim adjustment form to let us know of any changes to your funding claim you wish to make if the final claim form has already been submitted. The form allows for several changes of different types to be recorded. If you have changes for multiple children, separate forms are not required for each one. You must, however, submit separate forms if the changes relate to different funding periods.
You should not use this form if the final claim for the period the change relates to has not yet been made/submitted. Adjustments you need to make between submitting your provisional and final claims for a funding period should be reflected on your final claim instead.
Completed adjustment forms should be treated as any other claim form and only sent to the Early Years Funding Team through the secure file transfer site, AnyComms.
Adjustments to your claim may include:
New starters during the term
You will need to ensure that the child has not been attending elsewhere before submitting your claim, and that they have a valid eligibility code, where required, both at the start of the funding period and when they start with you. Child increasing the number of funded hours they are attending
If a child has unused weekly funded hours then the parent can increase the access to these by agreeing and signing an amendment to their PPA with you. Providing the hours have not been used elsewhere during the period, a claim for the increased hours can be made at any point, it does not have to be from a half-term or start of term point. We regret that short term ad-hoc changes to funded hours are not permitted however.
Child reducing the number of funded hours they are attending
Where you have an agreement in place through a PPA for a child to attend a certain number of hours and the parent wishes to reduce this they can do so by signing an amendment to their PPA with you. For reductions in hours during a half-term period, the original hours claimed will be honoured until the end of that half-term period and the parent will not be able to transfer any of those hours to another provider before the end of that period at the earliest.
Leavers during the term
You should let us know the date the child last attended for funded hours at your setting, not the end of any notice period if this is later.
DAF claim
If you have a child who newly becomes eligible for DAF during the term, you can submit a claim adjustment to claim this. Evidence of the child’s DLA award should be submitted at the same time as the claim adjustment.
Changes to personal details
These may include address or name changes. Please note, if the name change is due to the child being adopted, you should let us know this and confirm you have seen the relevant court/adoption order.
The form has drop downs to select the funding period and year the changes relate to and for the type of change you wish to make. It has prompts for required fields to be completed for each type of change, however, it is helpful to record any additional comments you think would be useful, or necessary, for the Funding Team to understand within the comments box for each child.

The payment date for any adjustments will be dependent on the date of submission. Adjustments received before the deadline for submitting a provisional claim for any term will be paid with that provisional payment; adjustments received by the deadline for submitting a final claim for any term will be paid with that final payment. If you are unsure when an adjustment you are submitting a claim for will be paid, please check with the Early Years Funding Team at the time of submission.
