There are several systems in place which are used to support the Early Years funding processes. When your setting is accepted onto the Buckinghamshire's funding directory, and you are ready to make your first Early Years Funded Entitlement claim, the Early Years Funding Team will set you up to access and use the various systems you will need to claim funding. All claim forms are produced in MS Excel, so you will need to ensure that you have access to this format.

Funding systems nomination form

For new settings accepted onto the funded providers directory, you will receive your nomination form for the funding systems via email at the time you receive your funding URN.

Please use this form to let us know the details of the person who needs access to the funding systems. You can also use this form to let us know if the nomination needs to change, for example, due to staff changes. There can only be one nominated user, and this is the email address which will be used for funding related correspondence, so please ensure it is an email address that is monitored regularly.

Secure file transfer site (Any Comms)

This system is used to securely send and receive any sensitive information. This includes all termly claim and claim adjustment forms and any letters containing children/s names or dates of birth. Please do not use email to send us any sensitive information, as it is not secure. The user guide for this system can be accessed here.

Eligibility Code Checking portal:

This is a portal to allow early years childcare providers to check the validity of Working Parent Eligibility codes. All claims made for Working Parent Funded Entitlement need to be accompanied by a valid code check made through this portal. The user guide for this system can be accessed here.

eVouchers account

To support eligible families at your setting, an account will be set up with eVouchers to allow your nominated person to order food vouchers to help those families with food costs during school holiday periods. The vouchers are funded by Buckinghamshire Council through the Government’s Household Support Grant initiative. Communications will be sent out prior to each holiday period to help you identify eligible children and support you with the ordering and distribution process.
